About the Position The Payroll Specialist provides support to the Finance Director, Executive Director, and other managers to create, monitor and follow financial procedures that are in accordance with the Healing Lodge’s policies and procedures and meet general accounting standards.
Essential Duties and Responsibilities Initiates accounts payable process including processing of purchase orders, matching purchase orders with invoices, entering into AP system, and obtaining appropriate signatures.
Reviews all timecards to ensure supervisors and employees complete and approve accurate timesheets.
Works with each supervisor to correct any deficiencies.
Ensures accurate entry of Pension contributions on-line as part of the payroll process.
Ensures accurate entry of payroll information and processes payroll.
Responds to inquiries regarding payroll procedures (e.
g.
wage levies and garnishments, savings contributions, direct deposits, etc.
).
Sends department heads Budgeted Hours and Over Time Reports as part of the payroll process.
Working closely with the HR Department to reconcile benefit billing and account balances to maintain accuracy and compliance with established guidelines and policies (e.
g.
voluntary and involuntary contributions, etc.
) A reconciliation of all accounts will be sent to HR Director and Finance Director monthly.
Prepares bank deposits by recording records on the deposit slips and gives to someone outside the Finance Department to deposit then gives a copy to Finance Director to enter into accounting system.
Receives and coordinates the reconciliation of credit card statements with staff purchases in accordance with the policies & procedures.
Assists the Financial Director in preparing for the annual external financial audit.
Support the external auditors with locating financial records during their audit.
Trains or informs other staff/or outside parties regarding procedural requirements for the purpose of processing A/P, Procurement, Payroll and Benefits transactions (e.
g.
via training manuals, documentation, email assistance, and personal training.
)
